Stage 1: Preparation and Review
These first two steps are very important to make sure that you are set up to successfully get the job done. Don’t forget that you’ll need to schedule extra meetings to engage members in important discussions and to formally adopt the Rules.
Back to RulesStep 1: Set up a Rules committee and a timeline
If your co-op does not already have a Rules committee, set one up. The committee can be made up of directors or a combination of directors and interested members. The committee should be big enough to generate a good cross-section of ideas and small enough to get the work done.
Timing is also important, and we recommend that you plan to have your new Rules approved and returned from the Registrar at least two months before your next AGM.

Step 2: Review your existing Rules
Start with a copy of your existing Rules and Occupancy Agreement. Be sure that you are working with the most recent version.
You can get a true copy of your Rules from the Registrar of Companies for a fee. You can adapt and use a template letter to request a copy of your existing Rules from the Registrar of Companies. Find this template letter with instructions in Rules Tools for Stage 1 below.
This is also a good opportunity to take a few minutes to review your Memorandum of Association.
